Every single day, I meet copywriters and business owners who keep asking me the same question: “How can I write emails faster without compromising on quality or watering down my message?”

The reality is, crafting emails can be mentally draining — especially if you don’t know what you’re doing. I can’t think of a worse feeling than sitting in front of your computer, staring at a blank screen and not knowing what to write about. The good news is, it doesn’t have to be that way. In fact, you can learn how to jot down emails faster and easier than ever before if you implement the following five super simple yet effective tips.

Without further ado, here are my five time-saving tips for writing emails quickly.

1. Have a timeframe

Four years ago, I started writing my emails within a given timeframe, and it has been a game changer.

Why? Because when you give yourself a timeframe to finish something, you create a “healthy pressure” that forces your brain to think and work faster. As a result, your writing speed doubles or even triples. The funny thing is, you’re probably already doing this without realizing it.

Think of all those times you had an urgent email to send. Yet, somehow, you managed to get it done on time. That was only possible because your brain was under pressure. The advantage of working within a given timeframe is obviously knocking out more emails in less time, which means more revenue for your business.

For example, when I write emails for my list, I give myself a maximum of 30 minutes for each email. And 99% of the time, I finish them before the time runs out.

2. Write first. Edit later.

Constantly going back to fix typos, formatting the text or doing other edits while writing your first email draft will only slow you down.

Now, I know you might want your email to be perfect from the get-go. But the reality is that the more you edit your emails while writing them the first time, the longer it will take you to finish them.

So, my tip is to do a “word vomit.” This means writing without stopping to correct typos, errors or clunky transitions. Go back to edit the text only after you’re done with the whole email.

Try this approach, and you’ll see how much faster you’ll be able to craft emails.

3. Eliminate distractions

Your number one productivity killer is distractions. And by far the biggest distraction? Your cell phone and its never-ending notifications.

Every few minutes, a new notification tells you that you received another email, social media message, or someone liked your post on X.

Now, you might think that taking your mind off your work for a few seconds won’t have a significant impact on your productivity. But according to a study done by the University of California, Irvine: “It takes an average of 23 minutes and 15 seconds to fully get back to your task.”

Once you’re ready with the email, you can switch the Internet back on and send it.

4. Find your best time

Improving your writing speed can also come down to biology or psychology.

For example, if you’re like me, you may be an early riser who crafts copy better and faster in the morning. Or you might be a night owl whose mind works better in the wee hours.

There’s no right or wrong here, and there’s no way of knowing what works best for you until you try different things. So, test and see what time of the day you’re the most productive. Once you find your best time, stick to it.

5. Write every single day

Much like a muscle that needs exercise, writing needs constant practice, too.

So, if you want to write emails faster — commit to writing every single day without fail. Do this constantly for a couple of months, and you’ll be able to write much faster. Guaranteed.

You can even set yourself some minimums as well. For instance, make a rule where you have to craft at least 200-300 words or write for 20-30 minutes daily.

Once you get into rhythm, gradually increase your word count to 500, 1,000, or even 1,500 words. This process will ensure you create a strong habit of writing while not compromising on quality.

On top of that, having a minimum requirement will help you stay committed and make sure you never miss a day without any practice.

As you can see, the “secret” to writing emails faster is all about managing your time wisely, practicing daily and working without any distractions. There’s nothing complicated. Just easy and simple ways you can start implementing immediately.
